I have had a lot of party cancellations lately. It is a very frustrating thing for people like us in the party plan industry. If you don’t have a party, you don’t get paid. It seems to go in spurts. I’ll go a bunch of months with only a couple of cancellations and then all of sudden I get a ton. I try to backtrack and figure out what I am doing (or not doing) to prevent these cancellations from occurring. Recently, someone asked me if I had a cancellation policy and when I went to scrounge it up, I remembered that I used to send these booking confirmation letters every time I scheduled a party. I think it was a mistake to stop sending them and intend to pick it up again immediately. The more contact you have with you hostess, the less likely she is to cancel. I recently heard that 9 contacts before the party is ideal. This can count as one!
Here’s the jist of the cancellation policy. I send this letter immediately after the party is booked.
Pure Romance is my awesome, amazing, and wonderful FULL TIME job . However, just like with any job, if I don’t go to work, I don’t get paid. This means that unexpected party cancellations have a direct effect on the income I need to pay bills, support my family and stay in business.
- If you must cancel or reschedule your party, please give me at least two weeks notice so that I can attempt to schedule another party on that date.
- To help us both, I will contact you approximately 16 days before your party to confirm the date and time with you. If I miss you, I will leave you a message and also attempt to contact you via text and Facebook. Please get back to me as soon as possible to confirm. If I do not hear from you, I may opt to book another party on your preferred date.
- In the event of unexpected emergency less than two weeks in advance of your party, please call me at 724-974-0657 as soon as possible. Thanks so much for your understanding!
